To Modify a Document Copy

You can change the field detail contained in an existing document copy. Changes can be made to the Security topic to allow permissions on the object, and files contained within the document copy can be hidden or re-sequenced by configuring controls on the Files topic.

Note: If no security is defined on the document copy, anyone can modify it. Otherwise, you must have Modify rights based on individual or group access in the Security topic.
  1. Once a document copy has been created the following attributes can be changed for each copy instance.
    SettingDescription
    Location Use the list to select a location. This list displays the Repository Groups configured by the administrator in AssetWise System Management Console. By default, the location is set to Main.
    Status

    The status of a copy can be one of the following:

    • Available
    • Issued
    • Lost
    • Destroyed
    • Reserved

    You will only be able to change the status from Available to either Lost or Destroyed, or from Issued to Lost.

    The Distribution Management process sets the status to Issued, Destroyed, Reserved or back to Available if returned.

    On BackOrder This check box is read-only and can only be set by the Distribution Management process if the system finds that a document must be assigned the back ordered status.
    Remarks An optional text field.
    Print Purpose Document copies have the ability to specify if it is for print purposes. The Create Print Job page has an option to print files belonging to a document copy that has the Print purpose specified.
  2. Click the Save icon in the action bar.
    Note: To delete a document copy, ensure that all relationships to the copy have been removed first, and then click the Delete icon in the action bar to delete the copy instance.
